Finance & Operations Directorate: Facilities Management Division

The Facilities Management Division in KZN is seeking to appoint a Receptionist/Administrator for the Regional Office.

Responsibilities: Core Requirements:
Reception/Switchboard:

  • Answering and directing calls within the shortest space of time.
  • To manage the main front desk, welcome and direct visitors/stakeholders to their respective destinations.
  • Answer community related queries where people require information and provide information regarding standards, procedures and policies.

Administrative Duties

  • Courier facilitation
  • Procuring of cleaning supplies and tea supplies.
  • Meeting all deadlines in terms of procurement requests by timeous logging of requests on JDE and adherence to SCM policy.
  • Logging of all facilities management RFQ’s (Request for Quotations) via SCM on JDE.
  • Follow up on service delivery
  • To work closely with SCM and Finance on finalization of RFQ’s and Purchase Orders.
  • Matric + 3 – 5 years receptionist and office administration experience
  • Computer literacy
  • Good organisational and interpersonal skills
  • Ability to multitask and work under pressure

Experience:

  • 5 years receptionist and office administration experience
  • MS Office packages, relevant computer skills
  • General administration, efficient filing and document control

A salary in the region of R135 955.00 per annum, cost-to-company, will be negotiated in consideration of experience and qualifications.
